Purpose of Role:

The Administration Assistant role is to support the business with administrative responsibilities to ensure efficient operations of the business. This includes supporting managers and employees through a variety of tasks related to organisation, sales execution, and communication. We are looking for a part time team member to work 20-hours per week, and are flexible with how this is broken up through the week (i.e. the 20-hours could be worked over 3-days, or 5-days per week).

Key Responsibilities:

  • Payment Processing and Reconciliation: Ensure the accurate allocation and receipting of client payments, while managing the timely reconciliation of all payment transactions.
  • Client Payment Collection: Collect client payments in line with agreed terms and ensure clear communication via phone regarding payment deadlines and expectations.
  • Stock Management: Oversee and coordinate stocktake processes, validate stocktake results, and report any discrepancies to maintain inventory integrity.
  • Customer Support and Communication: Provide high-level customer support, communicate relevant policies and procedures to internal stakeholders, and address issues promptly.
  • Staff Training and Development: Upskill and train team members to align with company administration standards, ensuring continuous improvement in operational processes.
  • Business Issue Management: Manage and prioritise business issues such as sales modifications, insurance claims, and maintaining an up-to-date customer database. Support the administration team as needed across various areas.

Key Requirements

  • Detail-Oriented and Accurate: You have a strong focus on ensuring transactions are properly accounted for, with an exceptional eye for detail when it comes to reconciling payments and managing client accounts.
  • Customer-Centric: You excel in providing excellent customer support, communicating clearly with internal and external stakeholders, and addressing any issues efficiently to meet their needs.
  • Proactive Problem Solver: You possess a proactive approach to problem-solving, identifying solutions for unforeseen circumstances and ensuring that all processes run smoothly.
  • Inventory Management Expertise: You have experience in managing inventory, overseeing stocktake processes, and ensuring stock integrity through accurate validation and reporting.
