The main priorities of this role is to manage the reception phone and take down accurate messages, look after all meeting rooms and clients as well as general housekeeping duties for the office.
Managing the phone
> Answer telephones within 3 rings with agreed salutation; use good diction; recall names and voices.
> Take accurate telephone messages including time and date of call and company of caller.
> Deliver messages as soon as possible via the in house email.
> A screen general sales call, HR enquires, and Directors calls.
> Co-ordinate usage and booking of the Board Room using the meeting room calendar.
> Ensure rooms are clear and clean for regular usage.
> Prepare food and beverages for clients, meetings or functions as required.
> General co-operation and interaction with other staff, including support to Directors/ Director-Interiors, Director-Client Services and Director-Projects as required and general staff support.
> Be pro-active in maintaining the overall functioning of the office and ensuring it is clean and tidy.
> Use initiative to improve the efficiency of the office and to get the job done.
> Be proactive in dealing with minor issues and responsibilities independently.
> Deal directly with general enquiries.
> Look after the company stationery, kitchen and art supplies.
> Prepare general correspondence and documentation in accordance with standard commercial business practice.
