Description
We’re looking for an organised, detail-oriented and tech-savvy Studio & Procurement Manager to join our team part-time. This role is ideal for someone who loves bringing order to creativity, the kind of person who gets real satisfaction from making things run smoothly behind the scenes.
About the role
You’ll be the go-to person keeping the studio humming and projects moving. From managing procurement and supplier relationships to supporting project admin and client onboarding, you’ll play a key role in helping Kate and the design team deliver exceptional results. There will be an opportunity to grow the role with an expanding business.
What you’ll do
Studio Management
- Coordinate the rhythm of the studio — from client meetings and supplier visits to day-to-day scheduling
- Welcome new clients by setting up project files, preparing onboarding documents and ensuring every detail feels considered
- Build strong relationships with our suppliers and trades — managing enquiries, showroom visits and sample requests
- Create and maintain product schedules and purchase orders in our industry specific platform, Programa, to keep projects running smoothly
- Assist with quotes, client invoicing and time tracking, keeping everything accurate and on hand when needed
- Capture and share notes from client meetings and site visits to keep the whole team aligned
- Keep our studio systems and operations manual up to date so things run beautifully behind the scenes
- Support the team with general admin and coordination — you’ll often be the calm in the creative flow
- Help plan and schedule social media content as needed (with a view to outsourcing in the future)
- Confidently use tools like Gmail, Programa, Slack, Calendly, Canva to stay connected and organised
Procurement
- Source and compare quotes, pricing and lead times from trusted suppliers
- Place and track orders to ensure everything arrives on time and as expected
- Liaise with suppliers, clients and builders to coordinate smooth deliveries to site
- Check all deliveries for accuracy and quality — ensuring every piece meets our standards of Liveable Luxury
- Manage returns or replacements with care and attention to detail
Key Requirements
Who you are
- You love interiors and have an appreciation for design and detail
- You have experience with Xero
- Organisation and accuracy come naturally – you spot things others might miss
- You’re proactive, resourceful and enjoy making life easier for the people around you
- You’re comfortable using tools like Gmail, Programa, Slack, Calendly and Canva (or you learn fast)
- You’re happy splitting your time between working from home and being in the studio in Rosebery
- Would suit a parent with school aged children looking for flexible work hours
- Consultant position, must have your own ABN / sole trader
