Part-time Contractor | Approx. 20 hours per week | Sydney
Alix Helps Interiors is a boutique residential interior design studio delivering thoughtful, design-led renovations and homes across Sydney and NSW. We are known for a calm, structured design process and a highly professional client experience.
We are seeking an experienced Operations Support contractor to assist with studio operations, project coordination and client administration during a busy phase of the business.
This role is best suited to someone who is highly organised, detail-driven and enjoys working within established systems and processes.
Engagement & Hours
· Contractor role
· Approx. 20 hours per week
· Hours ideally spread across 4–5 days per week to support project continuity
· Availability during standard business hours is essential
This role is not suited to someone looking to compress hours into one or two long days.
Key Requirements
Location & Mobility Requirements
· Must be Sydney-based
· Must be able to work from the AHI studio in Rosebery a minimum of 2 days per week
· Must have a valid driver’s licence and access to a car
· Must be comfortable visiting:
o Suppliers and showrooms
o Project sites
o Collecting and returning samples
This is a hands-on role supporting active residential projects.
Rate
· $45–$55 per hour + super, depending on experience
· Contractor arrangement (ABN required)
This role may transition to permanent employment in the future as the business and pipeline evolve.
About the Role
This role supports the smooth day-to-day running of the studio by executing established systems, maintaining project flow and ensuring clients experience a seamless, well-managed process.
You will work closely with the Principal and Design Team, following documented processes and escalating decisions where required.
This is an execution-focused role and does not involve design decision-making.
Key Responsibilities
Studio & Team Support
· Administrative support to enhance the client experience and studio operations
· Diary management, meeting coordination and studio logistics
· Occasional support in marketing activity using Canva to produce assets for blogs, social media and project documentation using templates provided
· Research tasks as directed
Project & Operations Support
· Assist with the smooth flow of projects from acquisition to delivery
· Maintain project timelines and flag potential bottlenecks
· Schedule internal and external resources such as Senior Designer availability and 3D renders
· Assist with preparing design proposals and fee estimates using approved templates
· Set up projects accurately in Programa, including tasks, phases and time allowances
· Manage timesheets and ensure accurate time recording
· Prepare draft invoices and follow up outstanding payments
· Enter and code supplier bills correctly in Xero
· Prepare invoicing and WIP summaries for review
Schedules, Ordering & Delivery
· Enter specified products into schedules with accurate pricing, imagery, spec sheets and care information
· Issue schedules for client approval and manage order placement once approved
· Liaise with suppliers regarding lead times and specifications
· Coordinate deliveries with site teams and suppliers
· Attend site as required to check deliveries and undertake basic quality control
Client Experience
· Support a calm, professional client journey
· Send regular client communications using templated Mailchimp sequences
· Arrange meetings at the studio, including meeting rooms and logistics
· Attend client presentations to take notes and circulate internally
Process & Documentation
· Follow documented studio processes consistently
· Assist with maintaining and updating process documentation
· Ensure all project information and decisions are stored centrally
· Support project handovers to ensure continuity

· Design decision-making
· Advising clients on aesthetics, scope or budgets

Experience in interior design, architecture, construction or a professional services environment will be highly regarded.
